Production Assistant

Key Responsibilities
• Logistics & Shipment Coordination.
• Pack and dispatch any masters and raw material samples to vendors and factories in accordance with critical path timelines.
• Create shipping labels and maintain accurate tracking of all inbound and outbound shipments (samples and raw materials).
• Liaise with vendors, factories, and couriers to resolve shipment delays or discrepancies.
• Maintain and update central shipment trackers (sent and received) for both raw materials and finished goods.
• Notify relevant team members of sample deliveries to the office.
• Coordinate closely with the warehouse team to follow up on book-in discrepancies and ensure raw material deliveries are correctly recorded.
• Ensure Purchase Orders Packs/barcode labels are sent to all factories and maintain consistency between factories and warehouse systems.
• Raw Material Booking & Inventory Support.
• Book in all raw material deliveries into the ERP system/ Create GRV and notify the relevant warehouse or operations teams.
• Support entry and maintenance of raw material and PO data in Priority/ERP System.
• Maintain accurate Production Archives/ Records of all seasonal raw material swatches held at the office.
• Invoicing & Finance Liaison.
• Validate & match supplier and factory invoices to PO values ensuring alignment with the Finance team for payment.
• Liaise with Finance to track advanced payments, obtain proof of payment, and communicate with suppliers/factories accordingly.
• Track and validate time sheets and invoicing from outsourced quality inspection services against actual booked hours.
• Provide day-to-day administrative support to the Production team, including meeting coordination, note-taking, and seasonal ad hoc tasks.
• Support the creation of seasonal production handover documents and supplier guides.
• Maintain organised filing and archiving systems for samples, swatches, production documentation, and product development.
• Keep the workspace clean, organised, and compliant with team documentation protocols.
• Masters & Production Records.
• Maintain logs of all PPS, TDS, samples shipments to and from factories.
• Assist in tracking production stages across all factories by updating internal tools and trackers in line with the critical path.
• Collaborate with the Industrialisation team to ensure all product development and pre-production documentation is accurately recorded and shared.
• The Ideal Candidate.
• 2–3 years of experience in a similar administrative or production support role, ideally within fashion, accessories, textiles, or consumer goods.
• Degree or diploma in Business Administration, Production Management, Fashion Supply Chain or a related discipline preferred.
• Proficient in office productivity software, especially spreadsheet software and document-processing software.
• Experience with production planning or ERP systems (e.g., production-planning system, Priority, PLM) is desirable.
• Comfortable managing large volumes of data with accuracy and efficiency.
• Fluent in verbal and written English is essential.
• Spanish and/or Italian would be a strong plus.
• Strong organisational and time management skills, with an ability to prioritise tasks and meet deadlines independently.
• Excellent communication and interpersonal skills, with the ability to liaise effectively across teams and external partners.
• A collaborative team player with a flexible, solution-oriented, and proactive attitude.
• High attention to detail and accuracy, particularly when handling data, documentation, and shipping records.
• Positive, hands-on mindset and ability to adapt to a fast-paced, dynamic environment.
• Must have the legal right to work in the UK without limitations.
Role Overview
As a Production Coordinator, you will play a pivotal role in supporting the smooth execution of the production lifecycle for both raw materials and finished goods. You will be responsible for a range of administrative and logistical tasks, ensuring production schedules are met, materials and samples are accurately tracked, and supplier communication is maintained. This position is critical to the efficiency of the Production team and the wider supply chain.
You will work cross-functionally with internal departments and external partners to ensure timely and accurate information flow, supporting the organisation’s high standards of quality, traceability, and operational excellence.
This role will require frequent travel to our suppliers and vendors.
