As a Conference Event Coordinator, you will be responsible for the seamless execution of virtual events for high-profile clients in capital markets and corporate finance. You will coordinate all aspects of the event, from planning to post-event analysis, ensuring best-in-class service throughout. We are looking for someone with a passion for live events, who thrives in dynamic environments, and enjoys bringing together all the elements that create a successful event experience.
Key Responsibilities
• Event Planning and Logistics.
• Book, build, and circulate event details for clients.
• Conduct dry runs and technical rehearsals with stakeholders.
• Manage communications with clients and the stakeholder team.
• Oversee and moderate live virtual events, including audio, video, and hybrid formats.
• Moderate Q&A sessions and facilitate content sharing (video playback, presentations, etc.).
• Ensure all aspects of the event run smoothly, including internal and external communications.
• Operate and manage audio-only conferences, making key announcements and introducing speakers.
• Moderate and facilitate audio Q&A sessions, ensuring smooth transitions between participants.
• Ensure high-quality audio recording of events, and manage file capture for later replay or distribution.
• Edit and produce audio replays, ensuring clarity and professional sound quality.
• Set up and manage video conferencing tools, ensuring all visual elements (video playback, presentations, sizzle reels, etc.) run smoothly during the event.
• Monitor and facilitate video Q&A sessions, moderating participation from attendees.
• Oversee live video recording to capture the event for replay, ensuring both video and audio components are of the highest quality.
• Edit and produce video replays, including tasks like trimming, syncing audio, and ensuring professional presentation for on-demand viewing.
• Collaborate with global the organisation teams in London, USA, Hong Kong, and the Philippines to ensure service excellence.
• Master our event toolsets, including webinar platform, webinar platform, and webinar platform, ensuring optimal use during events.
• Troubleshoot issues with platform vendors as needed.
• Assist in pre-and-post event data entry and data verification.
• Support the training and onboarding of new hires.
• Assist in transcription verification.

• Technically Capable: You’re proficient in spreadsheet software and familiar with video/audio editing software. Experience with webinar platform, webinar platform, or webinar platform is a plus, as is exposure to live production environments.
• Multilingual is a Plus: Fluency in French or German is an asset as we work with clients across regions.
• Experience Welcome, Drive Essential: Two years of experience in a fast-paced environment is preferred, but we’re open to recent graduates who demonstrate strong potential and a growth mindset.
• 8AM to 5PM BST/GMT, Monday to Friday.
