Service Charge Administrator & Credit Control Assistant

  • Job Type: Temporary (3-month assignment)
  • Location: Whitley Bay
  • Hourly Rate: £14.87 - £16.41

We are recruiting on behalf of a reputable client in Whitley Bay who are looking for a proactive and organised Service Charge Administrator & Credit Control Assistant. This temporary role is essential for providing administrative support to the Service Charge Department, assisting with service charge collections, handling customer enquiries, and managing general office administration tasks.

Day-to-Day of the Role:

Credit Control & Service Charge Collections

  • Assist with the collection of outstanding service charge accounts.
  • Issue polite payment reminders to leaseholders with overdue accounts.
  • Administer the company's three-stage credit control process in accordance with internal procedures.
  • Monitor debtor accounts and maintain accurate records of communications and payments received.
  • Liaise with leaseholders regarding outstanding balances and payment arrangements.
  • Escalate overdue accounts to senior team members where appropriate.
  • Prepare reports on outstanding debtors for management review.

Customer Service

  • Answer incoming telephone calls professionally and direct enquiries as appropriate.
  • Respond to email enquiries from leaseholders, residents, directors, contractors, and solicitors.
  • Provide general assistance and information regarding service charge accounts.
  • Maintain a high level of customer service while dealing with sensitive financial matters.

Administrative Support

  • Assist with general administration within the Block Management Department.
  • Maintain accurate electronic and paper filing systems.
  • Update property management databases and records.
  • Process incoming and outgoing correspondence.
  • Assist with the preparation of letters, notices, and reports.
  • Support the wider team with day-to-day administrative tasks as required.

Required Skills & Qualifications:

  • Excellent written and verbal communication skills.
  • Strong organisational skills and attention to detail.
  • Confident telephone manner.
  • Good working knowledge of Microsoft Office, including Outlook, Word, and Excel.
  • Ability to prioritise workload and work independently.
  • Professional and courteous approach to customer service.

Desirable:

  • Previous experience in credit control, accounts administration, or customer service.
  • Experience within property management, block management, housing, or service charge administration.
  • Knowledge of debt recovery procedures.
  • Experience using property management software.

Personal Qualities:

  • Professional and reliable.
  • Positive and approachable.
  • Confident but tactful when discussing outstanding payments.
  • Able to work effectively as part of a team.
  • Willing to learn and develop within the property management sector.

Working Hours:

  • Monday to Friday - 9.00am - 5.00pm
  • 30 mins for lunch
