HR Administrator / HR Coordinator (Contract)

Overview
This is a hands-on People Operations support role focused on keeping the HR engine running smoothly day to day. You’ll support onboarding, HR inbox and case queries, payroll inputs, scheduling, and employee lifecycle administration. It’s well suited to someone who is highly organised, detail-focused, and confident handling sensitive information in a busy, deadline-driven environment.
What you will support
You will provide operational HR support across core people processes, helping ensure employees and managers receive a consistent, responsive service.
Core responsibilities
• Onboarding and new starter coordination
o Coordinate end-to-end onboarding, including right to work checks, reference tracking, and starter documentation
o Prepare starter packs and ensure pre-employment checks are completed and recorded correctly
o Raise and track system access requests and onboarding tasks with IT and hiring teams
o Ensure new joiners are set up in HR systems and relevant trackers before day one
• Scheduling and coordination
o Manage interview and induction scheduling, including diary coordination across multiple stakeholders
o Send candidate and employee communications, confirmations, and joining instructions
o Organise induction sessions, room bookings, and any required materials
• HR administration and data management
o Maintain accurate HR records, ensuring employee files and system records are complete and up to date
o Manage document control, templates, and standard letters (contracts, amendments, confirmations)
o Support audits and compliance checks by ensuring records are traceable and stored correctly
• Payroll inputs and checks
o Prepare payroll inputs for starters, leavers, contractual changes, and absences
o Check timesheets and data accuracy prior to cut-off dates
o Liaise with payroll providers or internal payroll teams to resolve queries and discrepancies
• HR inbox and query handling
o Monitor and manage the HR inbox or ticketing queue, triaging and responding to queries
o Track cases through to closure, ensuring SLAs are met and updates are communicated clearly
o Escalate complex queries to HR Advisors/Partners while maintaining ownership of follow-up
• Reporting and compliance support
o Produce basic HR reports, tracker updates, and data extracts (e.g., starters/leavers, absence, right to work status)
o Support policy-driven processes and ensure documentation aligns with internal standards
What we are looking for
• Proven experience in HR administration / HR coordination (contract or permanent)
• Strong organisational skills with the ability to manage multiple tasks and deadlines
• High attention to detail and confidence working with HR data and documentation
• Strong confidentiality and discretion, handling sensitive information appropriately
• Good Excel skills (trackers, basic formulas, data checks) and confidence with Outlook/Teams
• HRIS experience is beneficial (e.g., Workday, SAP SuccessFactors, Oracle, iTrent, BambooHR), but not essential
